Order Processing
RCMS Pro handles every aspect of order
processing and billing. Whether starting a contract or adding,
returning or exchanging items on an existing contract, RCMS
automatically creates or revises the contract, prorates rents,
generates invoices or credit memos, adjusts inventory and posts to
A/R and the G/L. No competing software package offers this level of
sophistication.

From the main Order
Processing Screen the user can view every rental, lease and sale quote,
reservation and contract for a particular customer. When creating or
revising an order, reservation or contract, you have complete
flexibility to add or return rental items, sale items,
expendables, labor, delivery/pickup charges, damage waivers or
deposits. Invoices/credit memos will be generated automatically
from the contracts in advance or arrears depending on the
frequency you have chosen until the equipment is returned.
The user is given
complete flexibility to set the Pricing Level, Billing Method, Terms or Proration
Settings on orders, reservations and contracts. Every time a quote, reservation or
contract is modified, the system stores the previous revision to a
history file that may be viewed or printed.

Quoting/Order Entry
Quoting and Order Entry is a snap with our RCMS
Professional rental software. The user can create complicated
quotations quickly and efficiently with our order entry system.
You're given the ability to rent and sell items on the same
order/contract. You may also add expendables, labor,
delivery/pickup charges, damage waivers or deposits at any time.
When creating quotes, orders, reservations or
contracts for a particular customer, the Pricing Level, customer
discount percentages, rental terms, and billing frequency are
brought in from the customer record. You may accept these
defaults or change them at any time.
There are powerful scheduling capabilities because
we allow the
scheduling dates/times to be set independently for each line item or
group of items called "Systems". Systems are groups
of Packages, Kits and individual items that are grouped together for
quoting or scheduling purposes. After the user adds a standard Package
or Kit of items, the user may "customize" the Package/Kit by adding or
removing items from the Package/Kit. The Package/Kit rate is adjusted
according to the rate of the items that are being added or removed.
Checking availability across locations/warehouses are
made easy with our Calendar Availability views. The date sensitive Grid
Availability view displays the quantity available for both rental and
sale by Item, Group or Sub-Group. Exchanges or substitutions may be made
easily with RCMS Professional.
Once an order is saved, the system automatically creates
configuration, delivery and return work orders. If any of the systems
or items on the order are scheduled for different delivery/pickup
dates/times or are to be pulled from different locations/warehouses,
separate work orders are created for each location.
The user may also email/fax the quote/order from within
RCMS with attached spec sheets without leaving the RCMS Professional
program (requires optional Message Master module available in Enterprise
Edition).

Fully Integrated Accounting or export to any General Ledger
RCMS gives you a number of options when it comes to accounting
integration. If you want full integration with a high-end accounting
package, choose our Enterprise Edition. It integrates with the Sage Pro
ERP Accounting Series or, you can export journal entries to any general
ledger.
If you prefer to have integration with small-business accounting
packages such as QuickBooks, use our Small Business Edition. We have
been told that our integration with QuickBooks is the best any of our
prospects and clients have ever seen. RCMS Enterprise
Edition rental management software is built on top of the Sage
Pro ERP System Manager and Accounts Receivable Modules. Our Enterprise
Edition gives you the option to choose to utilize the full integration of the other Sage Pro ERP modules
(Accounts Payable, Purchase Orders, General Ledger, Payroll,
etc.) or you can post to any accounting package. Sage Pro ERP is a fully integrated
suite of Microsoft-based accounting, business management and e-business
applications.
RCMS Small Business Edition integrates with QuickBooks,
allowing you to to utilize the most widely used small business
accounting software in the world. When exporting to QuickBooks,
any new customers, invoices, credit memos, inventory receipts and
journal entries that are created through RCMS are exported to
QuickBooks. Then, within QuickBooks you do your normal accounts
receivable functions including taking payments, viewing aged payable
reports and producing financials.
